SFC is committed to protecting and respecting your privacy.

This policy explains when and why we collect personnel information, how we use it, any disclosures we may make, how we secure the information, how long it is retained and your rights.

The Eu’s General Data Protection Regulations designed to give individuals more rights over how your personal information is gathered, stored and used and builds on previous Data Protection Legislation. It aims to ensure an individual’s right to make sure their data is correct and held securely.

Sherwood Flying Club Ltd use and store limited personal information of customers, staff and members (see below). We also store flight training records, pilot licence and pilot medical details. We may also ask to see proof of identity in original form.

The data we hold is used for administration only. It is not given or sold to any third party.

By agreeing to club membership terms members authorise SFC to hold this data.

How do we collect information about you?

This is collected when one applies to join SFC and updated at membership renewal.

What information is collected?

The personal information SFC collect is: Name, address, email address, telephone number, date of birth.

The legal basis for the processing of the information is to enable the club to fulfil our contractual obligations and provide membership services.

What the information is used for.

To process membership applications and renewals.

To carry out our obligations arising from your membership.

Notify you of any relevant changes affecting your membership.

How long do we retain your information?

Your information is held on secure systems for as long as you are a member of the club. Should your membership lapse your information will be securely retained for a period of one year after which it will be deleted.

Who has access to your information?

Authorised offices of the club for the purposes of carrying out their role within the club.

Your information is not shared with any third parties unless required to do so by law.

What are your rights?

Right of access to the personal data held by the club and to be informed as to the purposes for which it is used.

Right to rectification

You have the right to have any inaccurate personal data rectified and any incomplete data completed.

Right to erasure

Where the data is no longer necessary for the purposes for which it is held. You are no longer a club member and do not wish the data to be held for the one year post termination of membership. Note a request for deletion of personnel data during a membership term will automatically incur the forfeit of membership of SFC.

Right to restrict processing

Processing of personal data may be restricted if: you contest the accuracy of the data; processing is unlawful, but you oppose erasure; we no longer need the personal data for the purposes of processing, but you require personal data for the establishment, exercise or defence of legal claims; and you have objected to processing, pending verification of that objection. Where processing has been restricted on this basis, we may continue to store your personal data. However we will only otherwise process it; with your consent; for the establishment, exercise or defence of legal claims; for the protection of the rights of another natural or legal person; or for the reasons of important public interest.

Right to object to object to processing

You have the right to the processing of your personal data for direct electronic communication purposes. If you make such an objection SFC will cease to process your personal data for this purpose; however this will result in you not receiving communications and updates about the club and will incur exclusion from the computer flight booking system.

Right to data portability

You have the right to receive your personal data from SFC in a structured, commonly used and machine readable format. This does not apply where it would adversely affect the rights of others.

Right to complain to a supervising authority

If you feel that SFC processing of your personal information infringes data protection laws, you have a legal right to lodge a complaint with the Information Commissioners Office.

Right to withdraw consent

You have the right to withdraw consent at any time. Withdrawing will not affect the lawfulness of processing before withdrawal.
